Role Responsibility

As a Visual Projects Coordinator, you will play a key role within the Visual Projects team through the planning & implementation of cross functional projects with Property, Marketing, and Visual Merchandising departments, as well as working closely with other areas of the business. We are looking for an experienced project coordinator who will consistently drive and maintain world class standards and play a part to drive our physical spaces at Selfridges which include seasonal sites such as Christmas, in store pop-ups, and our ever-changing Corner Shop. You will support the coordination of our visual projects, ranging from initial design, to liaising with manufacturers, whilst ensuring that all project scheduling is working to agreed timeframes. As a visual projects coordinator, you will:

  • Have a proactive, hands on approach
  • Manage assorted projects flexibly; simultaneously and independently.
  • Managing relationships with brands, contractors & suppliers
  • Ensure effective & efficient communication with line manager on current focus, priorities and current workload.
  • Good understanding of product/brand adjacencies, fixturing layout & customer flow
  • Managing internal relationships & communications
  • Role models company values and principles 

Service

  • Working on the practical realisation of projects
  • Works closely with other departments to design and deliver world class events and installations.
  • Contributing to the sign off on all Property projects to set deadlines
  • Agreeing & adhering to all Property processes to deliver projects to set deadlines
  • Attending regular steering groups & representing the department with the business
  • Liaising with suppliers to resolve all elements of build & achieving a high level of finish on all projects
  • Liaising with other departments to ensure instore signage (inc hoarding messages) are approved & up to date
  • Working out of hours where necessary to ensure smooth delivery of installations
  • Be pro active in sourcing new suppliers to source the best job for the best price
  • Liaise and influence other business functions to identify commercial opportunities and department performance. Work together to achieve actions.
  • Shares best practises with colleagues and peers. 
  • Consider both the internal and external customer in all activities.

Product

  • Adhere to all Visual Projects & Store Design processes
  • Consistently challenge and develop techniques and creative installations to ensure Selfridges stays ahead of competition.    
  • Regularly competitive shop new and inspirational places to maintain an understanding and awareness of competition & fashion direction and key brands.
  • Contribute and discuss new ideas/ techniques and installations in creative meetings
  • Works with line manager to identify areas to be developed, propose ideas and costs to do so

Environment

  • Ensure dept/area is organised to raise efficiency and effectiveness
  • Demonstrate good standards in Store Design office space, storage areas, fixtures and tool kits
  • Looks for and introduces ways to improve efficiency
  • Adheres to H & S standards, policies and procedures
  • Respects tools

Profit

  • An understanding of our annual budget & the split of budget across the assorted areas of responsibility
  • Contributing to the upkeep of trackers for Visual Projects
  • Ensuring the Purchase Order & tracker system is adhered to for all her orders
  • Manage invoice sign off & any discrepancies in ordering process
  • Takes actions to reduce stock loss         

The Ideal Candidate

  • Proven experience in product handling and hands on experience of merchandising product
  • Great planning and organisational skills
  • Project management experience and ability to manage assorted projects simultaneously
  • Experience in Vector Works, CAD desirable
  • Ability to work as an individual and part of a team
  • Creative understanding & ability to translate this into practical solutions
  • Good communication skills and the ability to connect with different levels of the business
  • Excellent time management and prioritising skills
  • Role models company values and principles
  • Managing relationships with brands, contractors & suppliers
  • Managing timelines & budgets to deliver projects on time & budget
