Role Responsibility

We are looking for a VIP Events Coordinator to work as part of the events team to implement the delivery of a creative, innovative and extraordinary programme of VIP events and experiences across the business, ensuring Selfridges is a market leader. The candidate will touch base with all categories, from fashion to food as well as key external partners and provide support on both physical, digital and hybrid activity.

 

Role Scope:

Supporting the VIP Experiences team, the candidate will help to research, plan, produce, coordinate and deliver projects working on budget, on brand, and in line with the Selfridges VIP objectives. These projects may vary from VIP Engagement, elevated service offers, in store and online events, exclusive packages and external partnerships.

This wide role requires relationships across the business including Buying, Creative, Retail Operation and digital, helping to deliver events and experiences that support the brand identity and the customer engagement strategy and drive profitability and profile for Selfridges.

 

Key Responsibilities:

 

  • Facilitate and support a programme of events and special projects for our VIP customers both within the monthly VIP Newsletter and Ad Hoc opportunities
  • Tracking and documentation of VIP events including RSVPs, attendance, feedback, successes and learnings
  • Creating VIP event communications and supporting in newsletter creation and delivery
  • Costing and project budgeting, raising and tracking PO’s and invoices and following through to budget reconciliation
  • Prepare and manage documents to track cost and expenses to reviewed with VIP event manager weekly
  • Communication of projects to all key stakeholders from Project Packs to Critical paths and Briefing Documents developing agendas and timelines
  • Develop and maintain a robust network of strong working relationships across the business and externally including partners and suppliers
  • Develop and maintain regular meetings coordinating between VIP and events teams to ensure streamlined communication and workflow
  • Negotiating with vendors and creating contracts and agreements with in-house legal team
  • Ensure that all reporting is up to date for internal stake holders including post event wash-ups
  • Support team on research and presenting materials for projects
  • Ensure all events meet Health and Safety and Security standards
  • Ensure all events meet data security and GDPR standards
  • Brief in Graphics and Creative in a timely manner for events collateral and builds
  • Supporting and deliver events on live days and build up with physical set up, staff management, hosting and production
  • Client liaison for duration of projects

 

 

 

 

 

 

 

 

The Ideal Candidate

We are looking for someone with the following experience:

  • 2 years experience in Events including production and communications (preferably Luxury retail)
  • Great and natural ability to network, develop internal/external contacts and working relationships across a diverse range of functions
  • Excellent communication skills
  • Excellent written and presentation skills
  • Excellent planning and organisational skills
  • Excellent budget management
  • Strong time management in a fast paced and multi-faceted environment
  • Strong understanding of VIP customer
  • Enthusiasm and passion to deliver innovative, creative and exciting projects
