Job Introduction

Key Purpose:

To provide accurate and timely information, tools and coordination which support the Single View of Stock training team agenda and priorities. The Single View of Stock (SVS) is a key workstream looking at our stock control and systems across the business.

Role Scope:

This role ensures that SVS training tools and processes are professional, accurate, effective and to the highest standard. It is a role which supports the SVS training activity across the business and liaises with a range of stakeholders and the wider SVS team. It requires someone with excellent attention to detail, numeracy, organisational and excel skills who is able to work with time demands and deadlines.  An interest in Training and Learning and Development in particular, an understanding of training planning and booking, and a pro-active, solution driven approach are essential.

Role Responsibility

Manage SVS Training collateral and supporting documentation for Projects and Releases

  • Administer training nominations, training registration and training logistics
  • Ensure all SVS Training collateral is accurate, available and stored as needed
  • Manage appropriate stock levels of all training collateral, liaising with Graphics and Training team in a cost effective and timely way
  • Coordinate Training stationary / Training materials and order as needed
  • Maintain the Training intranet page liaising with SVS & L&D team
  • Support the creation and maintenance of Training documentation
  • Coordinate the design and creation of SVS Training Calendar for the intranet
  • Manage and accurately maintain the SVS Training Calendar

Provide a range of tracking and reporting tools for SVS and the wider business

  • Management of timely and accurate Monthly Metrics liaising with SVS team and collation of monthly cancellations tracker
  • Coordination of training cycle : including, tracking, communication and reporting
  • Management of Snapshot Surveys/Questionnaires as part of training cycles
  • Analysis and communication of Snapshot results, liaising with SVS Change and Training, and L&D Managers
  • Support with tracking and analysis of all training projects

Coordinate and maintain budget accuracy for all SVS Training spend

  • Daily management of finance system and tools to track expenditure
  • Accurate maintenance of SVS training budget tracker and forecasting
  • Liaise with finance with all budget stakeholders, escalating as required
  • Maintain timely, accurate and up to date budget expenditure through close working with the SVS teams.
  • Coordinate regular budget updates and forecasts as needed
  • Raise Purchase Orders and send to suppliers in good time
  • Liaise with relevant internal stakeholders to maintain budget accuracy eg Graphics 

Provide SVS Training coordination and administrative support

  • Coordinate external programmes, facilitators and programme requests  
  • Work closely with the SVS Training Team to support SVS priorities and attend weekly SVS training meeting
  • Maintain relevant Training Room bookings for SVS Training activity
  • Manage the SVS Training inbox and SVS Training phone requests along with working with LDA team
  • Manage the Learning library for SVS
  • Support with Training bookings and cancellations
  • Support with Training Needs Analysis as part of training cycles
  • Provide external trainers with all relevant materials and information
  • Maintain filing and update as required
  • Coordinate training stationary requirements and order as needed

The Ideal Candidate

Experience

  • Generalist HR or Learning & Development experience either through study or work experience
  • Experience and interest in eLearning solutions and / or a Learning Management System

Technical skills

  • Excel, Word, Power point
  • System savvy and open to learn new systems
