Location: Midlands Based with occasional visits to London/ Manchester based stores

 

Purpose of role:

 

The Supply Chain Administrator is responsible for providing operational coordination and analytical support across the retail end-to-end supply chain, acting as the key interface between Stores, Merchandising and Distribution Centre.

The role ensures operational issues are proactively managed and resolved, supports performance reporting and continuous improvement activity, and provides the Supply Chain team with the operational insight required to maintain high levels of service, stock availability and delivery performance.

By owning the administration, reporting and coordination activities, the role enables the Supply Chain leadership team to focus on strategic priorities, supplier performance and business transformation.

 

Key Responsibilities

  • Operational Coordination
    1. Act as the first point of contact for store and operational supply chain queries relating to deliveries, replenishment and stock accuracy.
    2. Coordinate investigations across Stores, Distribution Centres and third-party logistics providers to ensure timely resolution of service issues.
    3. Monitor daily operational performance and proactively escalate emerging risks.
    4. Support the prioritisation of workload across Distribution Centre operations where required.
  • Performance Reporting
    1. Produce daily, weekly and monthly operational performance reports.
    2. Maintain dashboards covering service levels, store delivery performance, replenishment compliance and operational KPIs.
    3. Analyse trends and identify recurring issues impacting customer or store service.
    4. Ensure accurate reporting of operational performance to support business decision making.
  • Continuous Improvement
    1. Identify recurring operational issues and support root cause analysis.
    2. Work with Supply Chain Managers and operational partners to implement process improvements.
    3. Track improvement initiatives and measure delivery against agreed actions.
    4. Support the development of standard operating procedures and process documentation.
  • Supplier and Stakeholder Support
    1. Build effective working relationships with Distribution Centre operations, DHL, Retail Operations, Customer Services and Commercial teams.
    2. Coordinate communication between internal stakeholders and logistics partners to ensure service issues are resolved efficiently.
    3. Support governance meetings through preparation of reports, actions and performance updates.
  • Planning and Administration
    1. Support forecasting and replenishment planning activities.
    2. Assist with workload planning and operational prioritisation.
    3. Maintain accurate operational records, trackers and performance documentation.
    4. Provide administrative support for operational projects and Supply Chain initiatives.

Key Accountabilities

          Timely resolution of store and operational escalations.

          Accurate and timely production of Supply Chain performance reporting.

          Improved visibility of operational performance and service trends.

          Effective coordination between internal stakeholders and logistics providers.

                Delivery of continuous improvement actions that improve operational efficiency and improved service.

Knowledge, Skills and Experience

Essential

          Strong analytical skills with advanced Microsoft Excel capability.

          Experience producing operational reporting and KPI analysis.

          Excellent organisational and planning skills.

          Strong problem-solving and investigation capability.

          Ability to manage multiple priorities within a fast-paced environment.

          Excellent communication and stakeholder management skills.

 Desirable

          Experience working with Warehouse Management Systems (WMS).

          Knowledge of retail distribution and replenishment processes.

          Experience supporting continuous improvement initiatives.

          Experience working with third-party logistics providers.
