Role Responsibility

 

 

 

 

 

 

 

To support the full team member lifecycle at Selfridges by providing excellent customer service to all stakeholders including collaborating with the HR Specialist teams to provide insight, enabling problem solving and provide predictive capability to business leaders, informing future HR solutions. HR Shared Services advocates and improves Line Manager development through the continued sharing of knowledge of the self-service strategy.

 

KEY SKILLS AND AREAS OF RESPONSIBILITY

 

  • work with the HR Shared Services Manager to deliver an efficient Shared Service model to all Selfridges sites and systems to ensure excellence in customer service
  • produce and send out offer packs, including offer letters and contracts to new joiners for  all levels and functions in the business.  Including enrolling onto the Big Yellow Welcome Induction.
  • management of the full worker life cycle – from staffing to compensation – using the HR management system – Workday.  Including:
  • modify and create organisational structures
  • support and review of the job change business processes
  • sickness recalculations post changes to Hours
  • password & MFA re-sets
  • daily administration of the HR Admin Workday inbox
  • daily resolution for telephone and email Workday enquiries relating to processes, knowledge and requests.
  • Support line managers & team members with queries regarding Absence and Time modules
  • Administration of the Sabbatical & career break admin process
  • Second point of escalation for HR and Line Manages for resolution of system issues, including guiding, troubleshooting, investigating and correcting user actions
  • be aware of SLA targets and audit requirements for the HR Shared Service function and to ensure that these are met through regular communication with the HR Shared Services Manager
  • process and administer all applications for team member discount for both own bought and Contingent workers both manually and via the Salesforce platform.
  • process applications for season tickets including the addition of the request to the Payroll system, invoicing, refunds and the capture of amended data according to the defined criteria
  • maintain all HR files including electronic filing of consent, ensuring compliance with the Data Protection Act and being aware of the process for subject access requests and forthcoming GDPR
  • administering the refer a friend scheme
  • attain a detailed knowledge of the HR System and Processes to complete Organisation Restructures with accuracy
  • Management and administration of the Healthcare benefits scheme
  • produce and distribute reports
  • Support in systems testing to gain insight into new ways of working in HRSS
  • Review and Create How to Guides for changes to existing Processes for HRSS
  • Maintain effective learning materials for new functionality within the system (How to guides and upskill materials for new and existing Team members).
  • Cleanse and verify the integrity of people data
  • Work with managers to update hierarchies and structures to ensure team members sit in the correct place
  • Work closely with the HRSS Manager to seek and identify opportunities to make improvements to business processes
  • Develop and maintain good relationships with HRIS and the wider HR function to promote HR Shared Services. 
  • Train new starters in HR Shared Service Team on Workday Processes and functionality to ensure full understanding and application.

The Ideal Candidate

  • Experience within a fast-paced working environment essential
  • Knowledge and experience in Workday is essential
  • Strong customer service skills are essential, and they must be comfortable with multi-tasking and working under pressure to meet deadlines.
  • A good working knowledge of Microsoft Office packages, including Excel is essential for this role.
  • The successful candidate will be an experienced administrator, extremely organised, resilient, and confident, with a strong attention to detail.
  • On occasion, travel to our London and Regional stores may be required.
  • Ability to work under pressure to deadlines

  • Excellent HR system skills
