Job Introduction

Role Purpose

The Project Manager acts as a crucial liaison between Selfridges’ internal creative teams, the Internal Brand Partnerships team, and external brand partners to ensure that all window collaborations are delivered seamlessly, safely, and to the highest creative and operational standards.

This role manages communication across multiple teams, coordinates project requirements, and ensures all installations follow Selfridges’ creative, technical, and logistical expectations. The Project Manager brings strong production knowledge and an acute understanding of window processes, set design, and spatial planning.

Key Responsibilities

Brand Liaison & Project Coordination

  • Serve as the primary windows contact for brand partners throughout the window booking and delivery process.
  • Work closely with the Internal Brand Partnerships team to ensure a seamless approach to planning, communication, and project execution alongside the project coordinator and marketing managers.
  • Liaise between brand partners and internal windows teams (Design, Production, Styling, VM, and Creative Vision) to clarify requirements and ensure deliverables are aligned.
  • Attend weekly steering sessions focused on brand-led windows and brand marketing projects.
  • Collate detailed feedback from internal stakeholders and communicate clearly back to brands.
  • Track project timelines, booking schedules, and approval milestones to ensure flawless workflow.


 Production & Technical Oversight

  • Provide strong production expertise to guide both brands and internal teams.
  • Conduct site surveys with brand partners to assess feasibility, discuss installation methods, and answer technical questions.
  • Advise on material choices, installation restrictions, spatial constraints, and H&S compliance.
  • Review technical drawings and documents to ensure they meet Selfridges’ standards.
  • Support installation logistics and remain on call during anti-social hours when required for installs, de-rigs, troubleshooting, or brand arrivals.
  • Ensure all work adheres to Selfridges’ H&S policies, procedures, and risk management requirements.


 Cross-Team Collaboration

  • Work in partnership with:
    • Set Design Manager (creative interpretation, feasibility)
    • Production Manager (technical requirements, installation planning)
    • Styling & Prop Manager (styling requirements, stock, mannequins)
    • Internal Brand Partnerships team (strategic alignment and partner communication)
  • Coordinate internal conversations around creative feasibility, technical adjustments, and production constraints.
  • Support the Windows Lead in providing regular project updates, risks, and recommendations.
  • Ensure project documentation is accurate, accessible, and updated at every stage.

Skills & Experience

Experience

  • Project management experience in retail, creative production, events, or set design.
  • Strong understanding of windows production processes, spatial design, materials, and installation techniques.
  • Experience managing clients, brand partners, or external suppliers.
  • Background in visual merchandising, design coordination, or production management preferred.

Technical Skills

  • Strong production knowledge — fabrication, installation methods, safety, fabrication materials.
  • Ability to understand and discuss technical drawings and production specifications.
  • Proficiency in Microsoft Office and project management tools (e.g., Monday.com).
  • Confident documenting processes, reviewing technical documents, and writing clear feedback.
