Job Introduction

Buying Better and Inspiring Change is at the heart of everything that we do at Selfridges. This role will support our Creative Manager - Product and Ethical Trade Manager across Selfridges projects and schemes like Christmas and Ethical Trade. 

Role Responsibility

The Project Assistant will work on Selfridges creative schemes and projects (from a product perspective) and Ethical Trade within Selfridges approach to sustainability Buying Better / Inspiring Change assisting the Creative Manager and Ethical Trade Manager. In this busy role you will set up and attend meetings, circulate clear agendas, minutes and actions and follow up on actions ahead of their deadlines.

You will be the go-to person in the B&M department for the most up to date detailed information on product for Creative projects & Christmas and Buying Better / Inspiring Change Ethical Trade initiatives including (but not limited to) Sedex, Buying Better Labeling, Bright New Things & Ethical Trade policies.

Key Responsibilities:

  • To ensure you have access to the latest information regarding product and brands developed for schemes and Buying Better / Inspiring Change – Ethical Trade.
  • Setting up key meetings, with the required attendees and ensuring suitable rooms are booked.
  • Maintaining timeline documentation, and consistent communication of this information.
  • Set-up and keep trackers up to date by being pro-active in gathering content.
  • Managing meeting agendas and actions on projects.
  • Gathering information for presentations and putting together presentations.
  • To build strong and professional relationships within the buying office and wide
  • To liaise with internal and external project stakeholders throughout project lifecycles, which could mean, brands, suppliers, or external partners.
  • Under the direction of the Creative Manager - Product and Ethical Trade Manager - Set up project files including timelines, trackers and critical paths.
  • Manage the Buying Better and Creative Project inboxes responding and escalating where relevant.
  • When relevant supporting with research such as comp shopping, supplier sourcing, benchmarking.
  • Coordinating relevant steering group meetings and floorwalks as advised by Creative and Ethical Trade Managers
  • Support the B&M (incl Food teams) and GNFR representatives with the Sedex supplier on-boarding process
  • Maintain the Sedex database and internal supplier mapping.
  • When developed supporting with the company-wide risk-assessment process.
  • Support the B&M (incl. Food teams), Retail Operations, Online, DC and where relevant other departments with the operations of Buying Better labelling.
  • Monthly reporting for Buying Better / Inspiring Change initiatives which includes an internal round-up collating internal as well as external information.

The Ideal Candidate

  • Passion for ethical trading and sustainability is essential 
  • Impeccable organisational skills
  • Ability to prioritise and manage multiple tasks in tight time frames
  • Excel skills
  • Retail experience would be advantageous
